# Team Members

> Learn how to invite team members, manage roles, and collaborate within your workspace

## Overview

Team member management allows you to collaborate with others by inviting them to your workspace. Each member is assigned a role that determines their permissions and what actions they can perform.

  Only workspace owners and admins can invite new members and manage existing team members. Members have view-only access to the team roster.

## Roles and Permissions

Your workspace supports three roles, each with different permission levels:

### Role Hierarchy

| Role       | Description                                                                        |
| ---------- | ---------------------------------------------------------------------------------- |
| **Owner**  | Full control over the workspace, including deletion and all administrative actions |
| **Admin**  | Can manage members, invitations, and most workspace settings                       |
| **Member** | Can view and use agents, but cannot manage team or workspace settings              |

  When inviting new members, consider what level of access they need. Most team members only need the **Member** role to use and manage agents effectively.

## Accessing Team Members

To access team member management:

    Click on **Settings** in the left sidebar navigation.

    Click on **Members** in the settings menu to open the team members page.

## Inviting Team Members

Invite new members to collaborate in your workspace by sending them an email invitation.

  <Step title="Navigate to Members">
    Go to **Settings** → **Members** from the sidebar.
  </Step>

  <Step title="Click Invite Member">
    Click the **Invite Member** button in the top right corner.
  </Step>

  <Step title="Enter Email Address">
    In the dialog that appears, enter the email address of the person you want to invite.
  </Step>

  <Step title="Select a Role">
    Choose the appropriate role for the new member:

    * **Member** - Standard access for most team members
    * **Admin** - For users who need to manage the team
  </Step>

  <Step title="Send Invitation">
    Click **Send Invitation** to send the email invite.
  </Step>
</Steps>

<Note>
  Invitations expire after a set period. If an invitation expires, you'll need to send a new one.
</Note>

### What the Invitee Receives

When you invite someone, they receive an email containing:

* The name of your workspace
* Your name as the inviter
* The role they've been assigned
* A link to accept the invitation

## Managing Pending Invitations

Pending invitations appear in a separate section below the current members list. These are invitations that have been sent but not yet accepted.

### Viewing Pending Invitations

Pending invitations are displayed with:

* The invitee's email address
* The assigned role
* The expiration date

### Canceling an Invitation

If you need to revoke an invitation before it's accepted:

    Locate the pending invitation in the **Pending Invitations** section.

    Click the trash icon button next to the invitation.
  </Step>

  <Step title="Confirm Cancellation">
    Confirm the cancellation in the dialog that appears.
  </Step>
</Steps>

<Warning>
  Once an invitation is canceled, the invitee will no longer be able to use the invitation link. You'll need to send a new invitation if you want them to join.
</Warning>

## Removing Team Members

Owners and admins can remove members from the workspace when necessary.

    In the **Current Members** section, locate the team member you want to remove.

    Click the trash icon button next to their name.
  </Step>

  <Step title="Confirm Removal">
    In the confirmation dialog, review the member's name and click **Remove** to confirm.
  </Step>
</Steps>

### Important Considerations

<Warning>
  Removing a member immediately revokes their access to the workspace. They will no longer be able to view or manage any agents, sources, or conversations in this workspace.
</Warning>

| Item                 | What Happens            |

| **Workspace Access** | Immediately revoked     |
| **Agents Created**   | Remain in the workspace |
| **Sources Added**    | Remain in the workspace |
| **Active Sessions**  | Terminated immediately  |

<Note>
  You cannot remove yourself from a workspace. If you're the owner and want to leave, you must first transfer ownership to another member or delete the workspace entirely.
</Note>

## Accepting an Invitation

When you receive a workspace invitation:

    Look for an invitation email from Cosmo by Humanizing.
  </Step>

  <Step title="Click the Invitation Link">
    Click the **Accept Invitation** button in the email.
  </Step>

  <Step title="Review Invitation Details">
    On the acceptance page, review the workspace name and your assigned role.
  </Step>

  <Step title="Accept or Decline">
    Click **Accept** to join the workspace, or **Decline** if you don't want to join.
  </Step>

  <Step title="Access Your New Workspace">
    After accepting, you'll be automatically redirected to the workspace. Use the workspace switcher in the header to switch between workspaces.
  </Step>

### New User Acceptance

If you don't have an existing account:

* An account will be automatically created using the email address the invitation was sent to
* You'll be signed in automatically after accepting
* You can set up your profile and password in Account Settings

### Existing User Acceptance

If you already have an account:

* You must be signed in with the same email address the invitation was sent to
* The new workspace will be added to your workspace list
* You can switch between workspaces using the workspace switcher

<Warning>
  Invitations are tied to a specific email address. If you try to accept an invitation while signed in with a different email, you'll see an email mismatch error.
</Warning>

## Troubleshooting

    Ask them to check their spam or junk folder. If it's not there, cancel the invitation and send a new one. Make sure the email address is spelled correctly.
  </Accordion>

  <Accordion icon="clock" title="Invitation has expired">
    If an invitation has expired, it can no longer be used. Cancel the expired invitation and send a new one to the same email address.
  </Accordion>

  <Accordion icon="user-slash" title="Cannot remove a member">
    You cannot remove:

    * Yourself from the workspace
    * The workspace owner (unless you are the owner)

    If you need to transfer ownership, contact your workspace owner.
  </Accordion>

  <Accordion icon="envelope-open" title="Email mismatch when accepting">
    The invitation email must match the email you're signed in with. Either:

    * Sign out and sign in with the correct email
    * Ask for a new invitation to your current email address
  </Accordion>

  <Accordion icon="user-plus" title="Invite button is disabled">
    You may not have permission to invite members. Only owners and admins can send invitations. Contact your workspace owner if you need to invite someone.
  </Accordion>

## Best Practices

    Assign the minimum role needed for each team member's responsibilities. Most users only need Member access.

  <Card title="Review Periodically" icon="calendar-check">
    Regularly review your team members and remove any who no longer need access to maintain security.
  </Card>

  <Card title="Communicate Changes" icon="comments">
    Notify team members before removing them so they can save any information they need from the workspace.
  </Card>

  <Card title="Track Pending Invitations" icon="list-check">
    Follow up on pending invitations that haven't been accepted after a few days to ensure invitees received the email.
